DEFINITION: Assists the Director by performing varied, advanced fiscal, clerical and program support functions.

EXAMPLES OF WORK:  
Accounting Responsibilities: 
Posts items such as revenue and expenses in records/journals and assigns them as debits or credits to the appropriate account.
Reconciles accounts of moderate complexity by comparing account balances with related data. Run monthly fiscal reports.
Reviews records and source documents to identify the source of discrepancy. Checks reports received for duplication, mathematical accuracy, completeness, and compliance with prescribed requirements. Investigates irregular charges, billings, and so forth.
Prepares a listing of charges, payments, and irregular charges or refunds.
Prepares required forms to enter data into a computerized system and uses codes to denote the accounts affected by the transaction including such items as appropriation, project, and various other subdivisions in the account structure.
Receives, reviews for correct data, and processes accounts payable or accrued expenditure transactions, liquidates outstanding obligations, and computes and prepares adjustment vouchers for changes in data.
Issue and track customer support payments and stipend payments.  
Grant Activities: 
Assists the Director and other staff with contract and grant activities including, obtaining data, developing budgets, developing timelines, completion and maintenance of proposals.
Prepares resolutions, and other contract/grant activities as needed.
Assists in the formulation of effective policies and procedures and related operations for the department.  
Collects and analyzes data needed as a basis for administrative decisions in addition to performing general administrative clerical and related work. 
Maintains confidential records and files. 
Attend meetings on behalf of Director as requested. 
Conducts special projects as requested. 
Will be required to use various types of electronic and computerized information systems used by the department such as Edmonds, Abila MIP, QuickBooks, Microsoft Office, and America’s One Stop Operating System.  

REQUIREMENTS:
Experience: Five (5) years of experience in clerical work.  Three (3) years of experience in the preparation, maintenance, and/or review and verification of financial records.
