Salary: $45,000 

 
Duties: Provides administrative and clerical support of a confidential nature within the Cumberland County Department of Corrections.

Examples of Work:
Provides information in person or over the telephone and routes inquiries to the appropriate personnel for handling; escalates the more difficult inquiries to the senior management.
Perform all aspects of purchasing, including, but not limited to, working with administration in preparation of bids, obtaining quotes, processing requisitions and purchase orders.  
Prepares correspondence and memoranda, compiles information, and assists in the preparation of reports by gathering data, tabulating results, and/or preparing simple charts.  
Schedules meetings and maintains calendar of availability for Warden and Assistant Warden. 
May assist with hiring and processing new employees and other Department of Personnel functions.
May assist with payroll, charts, forms, tabulations, bills, contracts, specifications, and legal documents. 
Receiving and processing incoming mail. 
Processing OPRA Request Responses.
Handling of incoming Summons & Complaints and gathering initial documentation for County Counsel.  
Working as liaison with outside legal counsel, including gathering requested discovery, setting up meetings and depositions with counsel.
Performs Bank reconciliations for Bail Account & Child Support Account.
Assembles materials for distribution.
Maintains records and files.
Manages Records Retention maintaining compliance with the state’s retention and disposition schedule.
Attend meetings, take notes and prepare minutes, when necessary.

Requirements:  Three (3) years of comparable experience as an administrative official in a public or private organization.  Ability to follow oral and written directions in a timely and accurate manner. Ability to effectively and professionally communicate with the public.  Knowledge of modern office methods to include experience with email, data entry, and proficiency in Microsoft Office products. Strong organizational and analytical skills. Bilingual in English and Spanish preferred.

Hours: The typical work week consists of 35 hours, Monday through Friday; however, flexibility in the work schedule may be required.  

Note: Offers of employment are contingent upon successful completion of physical fitness testing, including drug screens.
